Service Dispatcher
At VetPowered, the Service Dispatcher is a dual-function role responsible for coordinating service calls and technician schedules while proactively generating and managing inside sales opportunities. This individual ensures efficient field operations through timely dispatching and supports business growth by upselling service contracts, parts, and maintenance solutions to existing and prospective customers. This role also assists other areas of Operation at the administrative level for the organization. Here is a detailed breakdown of your responsibilities:
Essential Duties and Responsibilities:
Dispatching Duties:
- Receive and coordinate incoming service requests via phone, email, or CRM system.
- Schedule and dispatch field technicians based on location, skill set, and priority level of service calls.
- Schedule and plan service calls to maximize billable hours.
- Communicate with technicians throughout the day to adjust schedules as needed.
- Track technician progress and ensure timely job completion and follow-up.
- Maintain accurate records of service calls, technician assignments, and customer communications.
- Collaborate with Lead Service Technician and Director of Operations to prioritize urgent or high-value clients.
Inside Sales Duties:
- Follow up on service inquiries and convert leads into scheduled appointments.
- Contact current customers to promote preventative maintenance plans, service upgrades, and extended warranties (if applicable).
- Identify upsell opportunities during or after service calls and collaborate with field staff for lead handoff.
- Create quotes and proposals for service contracts, repairs, and product add-ons.
- Maintain and update customer records in CRM, logging all sales activities and pipeline progress.
- Meet or exceed monthly sales targets and key performance indicators (KPIs).
- Other duties as required in support of the department and company goals.
- Other duties as required in support of operations.
Administrative Duties:
- Organize office operations and procedures according to SOPs currently in place.
- Update, develop and implement SOPs.
- Receive and screen telephone callers, visitors, complaints and outside contacts.
- Greet and provide general support to visitors – hospitality and administrative.
- Update internal databases.
- Partner with Operations to facilitate purchases and receiving.
- Monitor stock and apparel and re-order as needed.
- Manage inventory for apparel and office supplies.
- Maintain files, contacts, and records in accordance with current filing system SOPs
- Conduct internet research
- Address employee queries regarding office management issues (e.g. uniforms, forms)
- Liaise with facility management vendors, including cleaning and catering services
- Perform work related errands as needed such as going to the post office, dry cleaners, etc.
- Plan in-house or off-site activities, like company parties, celebrations and conferences
- Support in Manufacturing operations as needed
- Support with various administrative tasks
Qualifications & Work Experience:
To perform this job successfully, the candidate must be able to perform each essential duty satisfactorily (with or without accommodation). The requirements listed below are representative of the knowledge, skill, and/or ability required
- High school diploma or GED required; Associates degree preferred, or any combination of professional and education experience that it equivalent.
- 2+ years of experience in service dispatch, customer service, or inside sales.
- Strong organizational skills and ability to multi-task in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency in CRM systems (Salesforce) and dispatch or field service management software.
- Knowledge of industrial equipment, CNC machinery, or manufacturing services is a plus.
- Experience in UniPoint, and JobBoss (a plus)
- Proficient with Microsoft Office Suite with an emphasis on Word, Excel, and Outlook

Position Details: This is a full-time hourly position (40+ hours/week).
Pay: This pay does not include any opportunity for incentive compensation and is only reflective of the base pay for this position.
The range of pay for this California-based position is $33.00 to $36.00 hourly.
Incentive Compensation: Potential for bonus/incentives after one full year of employment.

Work Environment: The employee works in a contract manufacturing facility in an urban industrial neighborhood. Other areas within the facility are mixed use such as administration, classrooms, welding, and machining areas.
Employee may have additional environmental hazards such as: chemical, electrical, flammable, or mechanical in nature.
